Data Deletion Request

You can request deletion of your CoPhrase account and all data associated with it at any time. This page explains what we store and how to request deletion.

What data does CoPhrase store?

  • Account data — your email address, name, user ID, organization, and team members, used to authenticate and run your workspace
  • Conversation content — the messages exchanged between your customers and your agent on the channels you connect
  • Contact records — identifiers your customers provide or that a channel exposes, such as names, handles, phone numbers, and email addresses
  • Knowledge content — the websites, documents, and catalogs you connect so your agent can answer from your data
  • Channel credentials — encrypted access tokens for the accounts you connect
  • Usage, diagnostic, and crash data — collected for usage tracking, abuse prevention, and service improvement

How to request data deletion

To request deletion of all data associated with your account, send an email to help@cophrase.ai with the following:

  • Subject line: Data Deletion Request
  • From: the email address registered to your CoPhrase account

We will confirm your request and delete your account, your connected channel credentials, your conversations and contacts, and your knowledge content. Deleting your account disconnects your channels; it does not delete the messages that remain in your customers' own accounts on those platforms, or any records held by the platform itself, which are governed by that platform's policies.

Deleting individual contacts

If one of your customers asks you to delete their data, you can delete that contact and its conversation history from your dashboard without deleting your account. If you need help, contact us at help@cophrase.ai.

Retention

Backups are retained for a limited period and are overwritten on a rolling basis. We may retain a minimal record of the deletion request itself, and any records we are required by law to keep. See our Privacy Policy for details.
